AASA - National Conference on Education Room Block Request

General Information:

  • Complete and submit this form if you need to block 10 or more rooms.
  • Rooming lists must be submitted to AASA Housing by Monday, January 5, 2026.
  • All reservation changes and/or cancellations must be made through AASA Housing.
  • All reservation requests require a credit card guarantee.
  • Cancellation policies vary by hotel. Refer to Hotel List/Details page for more information.

Please provide your hotel choices in order of preference. Group housing assignments will be made on a first-come, first-served, space-available basis. If your hotel choices are not available, a housing representative will contact you.

Please enter the number of rooms requested for each night in the table below.

If you had a room block at past AASA meetings, your history of rooms reserved versus rooms utilized will be reviewed. AASA Housing reserves the right to make adjustments to your room block based on past history.

Group may request maximum of 20 rooms at the Renaissance Nashville Hotel, Embassy Suites by Hilton Nashville Downtown, and The Westin Nashville (subject to availability). Due to limited availability at nearby hotels, Exhibitor Companies are not able to request rooms at the AC Hotel Nashville, Omni Nashville, Residence Inn Nashville Downtown/Convention Center, and the Springhill Suites Nashville Downtown/Convention Center. All room requests will be subject to availability. Additional rooms will be assigned to an overflow hotel.

Deposit Information:

Deposit Policy: AASA Housing will NOT be charging credit cards for one night's deposit. On or after January 21, 2026, it is the discretion of the hotel to charge one night’s room plus tax. Should you wish to use a different credit card once you have submitted your request, contact AASA Housing by sending us a message.

All room block requests must be guaranteed with a credit card (no checks).

Financial Information:

Cancellation Policy:

AASA Housing will forward the credit card information to the hotel as guarantee for the room. In the event of a no show (failure to check in on scheduled day of arrival) the credit card will be charged one night's and tax by the hotel.

Ten rooms or more: Group is responsible for actualizing up eighty percent (80%) of the total room/suite block it agrees upon in the signed Group Agreement. Should the actual rooms/suites utilized be less than 80% of the Total Room/Suite Nights (as listed on the Group Agreement), the Group agrees to pay AASA for the number of sleeping rooms/suites not utilized up to 80% of the Total Room/Suite Nights reserved. Following receipt of the actual pick-up numbers from the hotel(s), the Group will be billed for the difference between the actual hotel’s pick-up numbers and 80% of the Total Room/Suite Nights as listed on the Group Agreement. These monies are due within thirty (30) days of receipt of the invoice. Please note: The invoice may not be sent until March 2026

Should a Group of 10 rooms or more cancel their entire room block, as per their signed Group Booking Contract, they will be responsible for paying the following in liquidated damages to AASA:

January 11, 2026 – February 10, 2026 - 80% of the Total Room Nights x the Single Room Rate
December 11, 2025 – January 10, 2026 - 50% of the Total Room Nights x the Single Room Rate
November 11, 2024 –December 10, 2025 - 30% of the Total Room Nights x the Single Room Rate
Date of Signing – November 10, 2025 - 20% of the Total Room Nights x the Single Room Rate

All cancellations must be made in writing and sent via e-mail to AASA Housing. These monies are due within thirty (30) days of cancellation of the block.

Nine rooms or less: Cancellation policies vary by hotel. Refer to Hotel List/Details/Reservations Policies page for more information. Cancellations after the deadline date will result in a penalty of one night's room and tax to be charged by the hotel. The group acknowledges that after the cancellation deadline, AASA Housing shall have no obligation to recover or seek recovery of any monies on the guest's behalf.
