General Information

  • Complete and submit this form if you need to block 10 or more rooms.
  • Block requests at the Westin Boston Seaport District and the Omni Boston Seaport are limited to 20 rooms or less (based on availability).
  • Rooming lists must be submitted to AFP Housing by Friday, August 22, 2025.
  • All reservation requests require a credit card guarantee.
  • All reservation changes and/or cancellations must be made through AFP Housing.
  • All modifications or cancellations to reservations can be made via email or phone on or before Monday, October 13, 2025.

Room/Suite Request

  • Room block requests are processed by priority points for all requests received up until the deadline of Friday, February 21, 2025.
  • Blocks are compared to the company’s actual room night utilization from previous years.
  • Room blocks submitted after the deadline of February 21 will be assigned in the order they're received and based on hotel availability at the time of the request (after priority blocks are completed).
  • AFP reserves the right to make adjustments to room block(s).
  • All rooms are subject to applicable taxes.

Monday, October 27: 8:30 a.m. - 5:00 p.m.
Tuesday, October 28: 8:30 a.m. - 5:30 p.m.

Installation Dates
Friday, October 24: 8:00 a.m. - 5:00 p.m.
Saturday, October 25: 8:00 a.m. - 5:00 p.m.
Sunday, October 26: 8:00 a.m. - 2:00 p.m.

Dismantling Dates
Tuesday, October 28: 5:30 p.m. - 11:59 p.m.
Wednesday, October 29: 8:00 a.m. - 5:00 p.m.

The Association for Financial Professionals cannot guarantee that groups will be assigned their complete block at one hotel; large groups will likely be split between multiple hotels. Please note that exhibitors have access to book up to a maximum of 20 rooms at the Westin Boston Seaport District and the Omni Boston Seaport (based on availability).

Affiliate Meeting Requests: If your company is interested in reserving a meeting space at a conference hotel, please complete the AFP 2025 Official Space Request Form. AFP’s Events Team will review and notify the point of contact within three business days after receipt of the completed form.

Deposit Information

Deposit Policy: A credit card is required to process your room block request. Checks can only be accepted after the room block has been guaranteed with a credit card.

Advance Deposits: Hotels may charge one night’s room & tax advance deposit per room after Wednesday, October 1, 2025, to the credit card used to hold each reservation. If you do not want the deposit charged to the current credit card, you must provide another card to AFP Housing no later than Tuesday, September 30, 2025.

Cancellation Policy

The deadline to release unused rooms in your block is Friday, August 22, 2025.

Individual reservations must be cancelled with AFP Housing on or before Wednesday, September 24, 2025.

AFP and CMR are not responsible for no-show or early departure fees charged by the hotel or rooms resold due to non-arrival.
