Important Information for AAP National Conference Exhibitor Hotel Reservations
The AAP encourages Exhibitors to book through the official Hotel Reservations site to earn priority points!
Reservations
- Headquarter Hotels: A maximum of (5) rooms are allowed for each exhibiting company at the Hyatt Regency Orlando.
- Requests for 10 or more rooms: Please submit a request through the Exhibitor Room Block Request Form.
- Credit Card Guarantee: All reservations made online require a credit card to guarantee the reservation. Hotels may charge a deposit in the amount of one night's room and tax on or after September 6, 2024.
- Rooming List Deadline: Wednesday, August 14, 2024
- Cancel Deadline: Thursday, August 22, 2024
- Room Availability: After Friday, September 6, 2024 some hotels may not allow name or date changes.
- Last Day for Changes: Monday, September 16, 2024
- Internet Access: Complimentary or discounted internet access is provided at the AAP contracted hotels when booked through AAP Hotel Reservations.
- Shuttles: A portion of the hotels are within walking distance to the Convention Center. To view the list of hotels with shuttle service, click on the Make a Reservation tab for details.
- Accessibility: The National Conference strives to be an inclusive, accessible conference and will make reasonable efforts to accommodate advance accessibility requests to enhance your meeting experience; on-site requests cannot be guaranteed. - Health & Safety: The American Academy of Pediatrics (AAP) is committed to providing a safe and healthy environment for all AAP meeting participants and will continue to work diligently in accordance with guidance provided by the Centers for Disease Control and Prevention (CDC) and the AAP. All registered meeting participants, staff, and guests must comply with all applicable regulations imposed by federal, state, and/or local health authorities and government mandates as well as abide by all safety precautions established by meeting and hotel venues. - CMR (Convention Management Resources) is the only official housing provider for the 2024 AAP National Conference & Exhibition. To avoid scams, book your hotel reservations through the CMR link posted only on the AAP website or if provided directly by an AAP or CMR representative. All official emails will come from an email address ending in aap.org or cmrus.com. If you do not see the Official AAP Partner logo on the website, then they are not the official provider.
- Scammers and poachers will relentlessly call and email in attempt to persuade you to make a hotel reservation with them. CMR will not contact you unless you have already requested rooms for the 2024 AAP National Conference & Exhibition.
- Caution is advised if the rate sounds too good to be true. Companies that market lower-rate hotel options to exhibitors and attendees cannot guarantee lower rates or that there is availability at the hotels they are marketing.
- Scammers and poachers generally request full payment upfront for your reservation. CMR will only request a credit card guarantee for one night's room and tax deposit.
